POINT-IN-TIME:  Sample Timeline of Activities

Week of December 17, 2018 PIT Coordinator Training begins.
Week of December 24, 2018 Christmas Holiday.
Week of December 31, 2018 – January 4, 2019 Scheduled live training for PIT Coordinators ends (1/3).

Volunteer recruitment.

Review 2019 Protocol.

Review 2019 Housing Inventory.

Week of January 7, 2019 Volunteer recruitment continues.

Recruitment of any committees or focus groups (planning committee or focus groups of homeless youth, LGBT youth, veterans, etc.)

Volunteer Interviewer training begins.

Week of January 14, 2019 Outside or street canvassing sites identified after outreach to law enforcement, emergency shelters, PATH & others.

Team leaders designated and canvassing site assignments made.

Volunteer training continues.

Week of January 21, 2019 Volunteers recruited and trained. 

(Some communities instruct volunteers to view the training video for Survey Volunteers on their own while other communities bring volunteers together for a training & briefing session where volunteers practice the surveys, sign Confidentiality Forms, meet their fellow site team members, review their site assignments and coordinate transportation for the night of the survey.)

Week of January 28, 2019 MT CoC training available by appointment, 1/28 – 1/30.

All team leaders should be recruited and trained by now, know what their assignments are and receive adequate number of surveys prior to their embarking to canvassing sites Thursday evening. 

Some communities convene everyone early Thursday evening prior to starting the survey as a way of building group camaraderie, awareness and enthusiasm. 

It also provides an opportunity to ensure everyone has what they need and knows what they are doing, collect Confidentiality Agreements, answer any remaining questions and ensure that everyone is assigned to a team or a partner.

And finally, it’s a great time to practice the survey with each other one last time.

January 31, 2019 Point-in-Time survey.
February 1 – February 8, 2019 Service Site surveys conducted, collected.
February 8, 2019 Surveys mailed to MT CoC by this date.
February 15, 2019 Deadline for verifying or updating Housing Inventory.
